Job Description:

Major Function:
Provides support to the Administrative Team in various tasks, including managing the company’s reception area and performing other administrative duties. Handles and directs incoming calls and fax communications. Welcomes and assists visitors and guests. Reports directly to the Manager of Administration.

Essential Functions:

Receptionist Responsibilities:

  • Answers incoming telephone calls, assesses the purpose of the calls, and forwards them to the appropriate personnel or department.
  • Delivers and relays messages to employees or voicemail when the appropriate personnel are unavailable.
  • Welcomes and assists visitors and guests of Crescent, ensuring the highest level of hospitality.
  • Ensures that only authorized individuals are allowed to enter the office.
  • Answers questions about the company and provides callers with addresses, directions, and any additional information as needed.

Administrative Responsibilities:

  • Updates and maintains a personal copy of the staff directory and other resources to ensure accurate information dissemination.
  • Keeps all emergency contact information updated and accessible for both emergencies and non-emergency situations.
  • Manages incoming couriers for all departments.
  • Maintains a safe and clean reception area and meeting rooms, ensuring all necessary supplies and equipment are available.
  • Performs various administrative tasks such as typing, faxing, copying, and filing documents as required.
  • Supervises catering arrangements and setups for workshops and meetings.

Communication and Reporting:

  • Reports to the Manager of Administration regarding all telephone calls and inquiries about the company.
  • Maintains and fosters excellent working relationships with all Crescent staff and external parties.

Required Minimum Qualifications & Experience:

  • Bachelor’s degree or diploma in any field.
  • 1 to 2 years of experience in a similar role.
