Position: Commercial Executive
Role Overview: The Commercial Executive is responsible for executing the supply chain process, which includes daily collaboration with sales to manage Requests for Quotations (RFQs) with suppliers. This role supports the sales team in generating offers for customers and reports directly to the Commercial Manager. The Commercial Executive also assists the respective Sales Department heads by sharing stock and delivery status reports, as well as insights gained from communications. In addition, they negotiate supplier terms, prices, and delivery schedules, utilizing their knowledge of budget constraints, stock levels, approved requisitions, and scheduling requirements. The role also involves handling non-standard products and seeking new business opportunities for the organization.
Key Responsibilities:
- Adhere to purchasing policies and procedures as outlined in the operations manual and directives from the direct manager.
- Ensure that company requirements for equipment and items are processed in the most cost-effective, economical, and timely manner, in accordance with defined company policies.
- Maintain active purchase planning to meet required stock levels and market needs.
- Leverage knowledge of material work planning and processing methods to ensure timely product delivery.
- Negotiate favorable vendor terms, pricing, and delivery based on requirements.
- Utilize knowledge of items and equipment to schedule necessary items for continuous sales cycles.
- Maintain regular communication with principal suppliers to ensure smooth operations.
- Report any changes or non-compliance with product specifications as necessary.
- Participate in supplier evaluations and recommend changes to facilitate operations and reduce costs.
Duties and Essential Job Functions:
- Regularly monitor inventory stock levels and inform the respective sales or concerned department for planning purposes through reports.
- Generate commercial department reports related to monthly sales stock and other necessary reports.
- Review and analyze information from Branch Sales Managers regarding inquiries about new products or stock availability received from the commercial assistant.
- Evaluate requisition forms and send evaluations to the commercial assistant for standard items within a maximum of three working days.
- Collect necessary information on requisitions, check stock levels, and conduct searches as needed.
- Handle requests for non-standard items/purchases as required.
- Participate in meetings with suppliers and maintain strong relationships with them.
- Update the Commercial Department Application (Oracle System) regarding all phases of requisition status.
- Update commercial department registers and forms as needed.
